This privacy policy explains how Tom Ryder Weddings ("I", "me", "my") collects, uses, stores and protects your personal information when you use this website. I take your privacy seriously, and this policy is written in plain English so you can understand exactly what happens with your data.

Who I am

Tom Ryder Weddings is a sole trader business providing acoustic wedding singer and guitarist services across the UK and internationally. I am based in Stansted, Essex.

What information I collect

The enquiry form

When you fill in the enquiry form on this website, I collect:

  • Your name
  • Your email address
  • Your phone number, if you choose to give it
  • Your wedding date, or that the date is not confirmed yet
  • The location of your wedding
  • Which parts of the day you are thinking about
  • Any message you choose to include
  • How you heard about me, if you choose to answer
  • The page you sent the form from, and your browser's user agent string

The last two are collected so I can tell which parts of the site are useful and spot automated spam. They are never used to build a profile of you.

The song list

Some articles on this site offer to email you the list of songs in that article. If you ask for it, I collect:

  • Your email address
  • The article you asked from, and the songs that were sent
  • Whether you ticked the optional box agreeing that I may email you about wedding music another time, and when you ticked it

The email address is used once, to send you that list. If you did not tick the optional box, it is used for nothing else. If you did, I may email you about wedding music occasionally, and you can tell me to stop at any time by replying or emailing tom@tomryderweddings.co.uk.

If you go on to book

I may also collect your postal address and payment details as part of the booking process, and the running order and song choices for your day.

Collected automatically

My hosting provider records standard technical information for every request, such as your IP address, browser type and the pages you visit, in order to serve the site and keep it secure. If website analytics are enabled, the data collected through them is aggregated and does not identify you.

How I use your information

  • To respond to your enquiry, reply about your wedding and give you a price.
  • To manage bookings: confirming dates, agreeing arrangements in writing, taking payment and staying in touch in the lead-up to your wedding.
  • To send you a song list you have asked for.
  • To improve the website, using aggregated analytics data.
  • To ask for feedback after your wedding. You are under no obligation to give any.

I will never sell, rent or share your personal information with third parties for marketing purposes.

Lawful basis for processing

Under the UK General Data Protection Regulation (UK GDPR) I rely on the following lawful bases:

  • Legitimate interest, to respond to enquiries and run my business.
  • Contract, to fulfil bookings and provide my services.
  • Consent, where you have opted in to hear from me about wedding music. You can withdraw consent at any time.

How I store and protect your information

  • Enquiries and song list requests are stored in this website's own database, on secure servers, and can only be read by me after signing in.
  • Enquiry details are also forwarded to my business email, which is protected by a password and two-factor authentication where available.
  • If we speak by phone or text, your number is stored on my personal device.

I take reasonable steps to protect your data from unauthorised access, loss or misuse. No method of transmission over the internet is completely secure.

How long I keep your information

  • Enquiries that do not lead to a booking: up to 12 months after your last contact with me, then deleted.
  • Confirmed bookings: up to 6 years after the wedding date, for accounting and tax purposes, as required by HMRC.
  • Song list requests where you did not opt in: up to 12 months, then deleted.
  • Song list requests where you did opt in: kept until you tell me to stop, and reviewed every 24 months.

Cookies

This site sets no advertising or tracking cookies of its own. If I embed content from YouTube, SoundCloud, Instagram or Facebook, those platforms may set their own cookies once you press play or interact with them, which is why nothing loads from them until you do. You can manage or block cookies through your browser settings.

Your rights

Under the UK GDPR you have the right to:

  • Ask me what personal data I hold about you.
  • Ask me to correct anything inaccurate.
  • Ask me to delete your personal data.
  • Ask me to restrict how I use it.
  • Ask me to provide it in a machine-readable format.
  • Object to me processing it for certain purposes.

To exercise any of these rights, contact me using the details above. I will respond within one calendar month. If you are not satisfied with how I handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

This website links to third-party platforms such as Instagram, Facebook, YouTube and SoundCloud. I am not responsible for their privacy practices, and I would encourage you to read their policies separately.

I may update this policy from time to time. Any changes will be posted on this page with the updated date at the top.
